Position Objective:
The objective of this position is to provide administrator services with value-added benefits to the company. The Division Administrator needs to be a self-starter who is able to multitask effectively. The position requires a proven ability to effectively communicate with external and internal customers. Strong math skills and an ability to pay close attention to detail is essential. Main responsibilities include scheduling incoming jobs, maintaining division documents / databases, customer communication, managing division reports, as well as other related support duties as required.
Essential Functions of Position:
Responsibilities include, but are not limited to:
- Customer Phone Contact
- Assists General Manager & customers with document completion & scheduling of incoming material
- Assists in preparing quotes for sales personnel
- Prepares / distributes pre & post samples to laboratory
- Prepare manifests, labels, & weight tickets for vehicles as required
- Tracks / maintains division analyticals
- Match division incoming manifests & weight tickets to approved documents
- Prepares certificates of acceptance / treatment
- Maintains division databases & spreadsheets
- Prepares weekly / monthly division calendar for meetings
- Gathers / submits information for emissions test book & FDEP inspections
- Assists General Manager with reports
- Prepares / assembles billing sheets for division & salespersons
- Content Management filing
- Interact with other business departments; communicate & work directly with various business managers and staff to ensure useful & timely reporting of information
- Assists with other Division administrators when needed
- Assists with special projects as required
- Provide suggestions to management & supervisor on ways to implement efficiencies with daily processing & reporting activities
- Evaluate, document and implement department policies
- Sign in vehicles and keeps daily running spreadsheet total of trucks / incoming material
- Other special assignments & ad hoc projects as required
Knowledge, Skills, and Abilities:
- Microsoft products: Excel, Word, Outlook, etc.
- Database experience
- PC skills
- Internet usage for business
- 10-key adding machine / calculator
Qualifications:
- Proven ability to communicate effectively with confidence, both verbal and written
- Strong organizational and customer service skills
- Associate’s Degree or equivalent from two-year college or technical school preferred
- Two or more years of related experience and/or training
- Strong math skills with ability to calculate figures and amounts
- Expertise in MS Products (Word, Excel, etc.) and Internet business usage
- Be willing to help where needed
- Have an employment record of stability, honesty, reliability and integrity
